Overview of the Database

Note: Please print out this section and use it as, a ready reference, as you enter a samoyed into the database.

The SCARF DNA Repository/Database consists of three directories.

  1. Data Entry for Samoyed Records - main database

  2. Data Entry for Samoyed Incident Report

  3. Data Entry for Samoyed Death Report

In each directory, a "record" is created for each individual dog. Each record contains "fields" which contain specific pieces of information. The SCARF DNA Repository/Database was created using a relational database (MySQL). Relational databases allow for linking of various directories together through the use of common information entered into "fields". Certain "fields" such as the "identification code" or the "registration number" will be able to tie these different directories together to give a complete picture of that dog.

Creating Your Account

Note:  You will need cookies enabled in your browser to become a member.  Click here to find out how to do this for your browser.

From the Log In Page, click on "Click here to become a member".   The "Member Data Page" page will be brought up. Your "account name" will be your email address. Create your own "password", which should be less than 8 numbers and/or letters. The password will be case sensitive. The information you provide will not be disclosed to anyone without your permission. The DNA Bank is an independent facility and it's personnel are not affiliated with any Samoyed dog organization. Click the "Save Member Data" button and you will be provided instant access with the Samoyed Database Members page. Fill in your email address and password and you will be taken to the SCARF DNA Banking program Companion Databases page.

Accessing Your Account in the Future

Return to the Samoyed Database Members page. Log in by filling in email address and password and you will be taken to the SCARF DNA Banking program Companion Databases page where you can add new records or modify old ones. To modify previous records, you must have the dog's "identification code". See an explanation of the "identification code" under "Adding a Record to the Database" below.

Enter your Email address and click on "Mail Me My Password" and your password will be sent to your Email address.

Adding a Record to the Database

Most of the fields in the database are self explanatory. There are comments in each field to guide you through the data entry process. The most critical field is the Samoyed's "identification code", which is the only identifier that is affixed to the stored DNA samples in the bank.   Click on the link to a random code generator and use that code as your Samoyed's "identification code".

It is critical to enter this code at the beginning of the data entry as this code links together all of the databases of information (including adverse events, and death reports), that may be accessed at a later date. If you add a death record or adverse event record to a dog already entered in the database, be sure to use the same "identification code" for all three sets of records.

For Samoyed owners who are not participating in the DNA banking process, but wish to contribute to the body of knowledge of our breed, and enter in facts about their Samoyed, there is a field to enter either the AKC registration number of the animal, or, if this is not available, click on the link to a random code generator and use that code as your Samoyed's "identification code".

After you are satisfied that you have entered, to the best of your ability, your Samoyed's data, click the "Add" button at the bottom of the form. Before you enter more dogs into the database click the "Clear form" button at the bottom of the form.

If you can't complete your data entry in one session, be sure to click the "Add" button at the bottom of the page and save what you have already entered into the database. Then, at a later date, you can log back into the Samoyed Database Members page, click on "Edit or Remove Dogs From the Database" at the top of the screen, and your dog's records will be displayed. You will have access to only your dog's records.  Click on the record you want to modify.  See Editing and Modifying your Records below.

Besides the main database entry which describes in detail information about your Samoyed, there are two additional databases; one to hold information about adverse reactions to drugs or products and a death report database. If at anytime, you need to add information about your Samoyed into these databases, you can login to these databases at the Samoyed Database Members page, click on the type of report you would like to make, and complete that database.  It is critical that if you already have this Samoyed entered into the main database that you use the same "identification code" for this new, related record of your dog.

Technical note:

In fields where data is entered manually (ie., any of the additional comment fields), please make sure that the "answers or comments" are separated by a comma or the database will not enter the information as separate answers.

This is how the database recognizes individual pieces of information.

Editing and Modifying your Records

After you login to the Samoyed Database Members page, there is a link at the top of the page "Edit or Remove Dogs From the Database". Click on this link to retrieve your dogs records. They will be identified by their Identifying Code, Registered Name, and Call Name under their record number.

To modify a record , click on "Edit this dog", and a page will load displaying the information that you have previously entered. Add your new information and then click "Modify" at the bottom of the page to save the new information. If for any reason you wish to delete your animals information from the database, you can click on "Remove this dog" from the database
